Product Stack Audit Template
Use this template to establish a clean baseline of your current product stack. A complete audit typically takes 30 to 60 minutes for a stack of 15 to 30 products, and the visibility it creates pays for itself at the next renewal cycle.
When to use this template
- First-time setup — You have never inventoried your software stack
- Quarterly review — Scheduled check-in on stack health
- Pre-renewal batch — Before a cluster of annual renewals
- Budget planning — When forecasting software costs for the next quarter or year
- After team changes — When someone joins or leaves and tool ownership needs reassignment
Product inventory fields
For each product in your stack, capture the following:

Scoring rubric
For each product, assign a simple score to guide prioritization:
Usage score (1–3)
- 3 — Used daily or multiple times per week
- 2 — Used weekly or a few times per month
- 1 — Used rarely or not at all in the past 30 days
Value score (1–3)
- 3 — Critical to operations; no viable alternative
- 2 — Useful but has alternatives; switching would be manageable
- 1 — Low impact; operations would not change significantly without it
Cost efficiency (Usage × Value)
