Renewals are the single biggest source of preventable software waste. Not because the tools are bad, but because the decision happens too late — or not at all. An auto-renewal charge for a tool you forgot about, a price increase you did not notice, or a commitment that locks you in for another year without evaluation.

This template provides a structured system for tracking renewals and making deliberate decisions before commitments lock in.

When to use this template

  • Setting up renewal tracking — First-time implementation of a renewal process
  • Annual planning — Mapping all renewals for the upcoming year
  • Budget forecasting — Predicting software costs for the next quarter
  • Pre-renewal review — 30 days before any individual renewal

The 30/60/90 day framework

Structure your renewal reviews in three phases:

90 days out: Awareness

At 90 days before renewal, ensure the renewal is on your radar:

  • Renewal date is recorded with correct contract end date
  • Owner is assigned and aware of the upcoming renewal
  • Current cost and plan tier are accurate
  • Auto-renewal status is confirmed (can you cancel without penalty?)

This is a passive check. No decision is needed yet. The goal is awareness.

60 days out: Research

At 60 days, begin gathering the information needed for a decision:

  • Review usage over the past 90 days (how often was this tool used?)
  • Check for price changes or plan updates from the vendor
  • Identify alternatives in the marketplace if the tool is underperforming
  • Note any capability changes — has another tool in your stack added features that make this one redundant?

30 days out: Decision

At 30 days, make a deliberate decision:

Negotiation tips for renewals

When a tool is worth keeping but the price feels high:

  1. Check competitor pricing — Know what alternatives cost before contacting the vendor
  2. Ask about annual discounts — Monthly-to-annual switches often save 15–20%
  3. Mention alternatives by name — "I am evaluating [competitor] which offers similar capabilities at a lower price"
  4. Ask about startup or small-team pricing — Many vendors have unpublished tiers for smaller customers
  5. Time the conversation — Contact vendors 14 days before renewal when they are most motivated to retain you
